Location: Menlo Park, CA

Salary:  Depending upon experience

Start Date: ASAP, 7 month contract

  • Coordinate internal and external meetings for 3 executives
  • Manage complex calendars
  • Prepare expense reports
  • Coordinate both domestic and international travel arrangements
  • Organize space planning and offsite events
  • Communicate and interface with clients and external guests
  • General office duties as needed
  • Build cross-functional relationships between departments
  • Able to multi-task and change direction quickly
  • Maintain confidentiality of all appropriate communications and documentation

  • 4+ years of recent experience providing administrative support to 2 or more executives (recent is within last 3-5 years)
  • 4+ years of experience coordinating travel logistics on behalf of 2 or more executives
  • 4+ years of calendar management and expense report management for 2 or more executives
  • Excellent computer skills and fluent in Outlook
  • Incredibly organized and detail-oriented
  • Able to prioritize multiple assignments
  • Excellent communication skills via all means of communication
  • Strong scheduling and calendar prioritization skills
  • Knowledgeable about organizing small and large off-site events
  • Experience with scaling space management and planning to accommodate regular growth amongst teams
  • Able to thrive in a fast-paced atmosphere
  • Must be able to work collaborative with the admin org
  • Must be flexible and able to quickly react to last minute changes
  • Constantly searching for new and exciting ways to strengthen team programs
  • Be proactive and self-directed with an ability to take direction
  • Active knowledge of how to engage team members and interact with managers to make quick and effective transitions
  • Strong work ethic
  • Experience at a high-tech company preferred
